What is a MEDICAL ABSENCE?

A Medical Absence must satisfy all four (4) of the following  criteria....

1. The student MUST be present a portion of the day.

2. The student MUST be absent a portion of the day.

3. The student MUST see a doctor on the same day he/she is Absent and Present.

4. The student MUST provide the school with a note from the doctor for the day he/she was absent.

If all four criteria are not met for the day in question, you may not use the Medical Absence code.

How long must a student be present during the day to count as a MEDICAL ABSENCE?

A student may be present for any portion of the day, no matter how short or long in duration to earn a Medical Absence as long as the other three (3) criteria are met.  This means that the student may come at 9:00AM and leave at 9:15AM and be eligible for a Medical Absence for the entire day as long as he sees a doctor that day and brings a doctor's note when he returns to school.

Can a student have a MEDICAL ABSENCE for two (2) or more days in a row?

Yes, providing that the student meets all four(4) MEDICAL ABSENCE criteria for each day of absence.  This would mean that the student would have to ...

1. Be PRESENT a portion of each day...

2. Be ABSENT a portion of each day...

3. See a doctor each day...

4. Provide a doctor's note for each day...

These criteria might possibly be met by a student seeing a therapist or orthodontist for a series of treatments or day surgery and follow-up visits.

What qualifies as a DOCTOR'S NOTE?

A Doctor's Note is a note written by any type of medical professional who sees a student in his/her office, clinic, hospital, rehab center, etc.  Professions qualifying are Nurse Practitioner, Doctor, Therapist, Psychologist, Psychiatrist, or any other certified medical professional. 

If a doctor's office assigns the doctor's nurse or receptionist the duty of issuing all student notes, these are acceptable as well, as long as the doctor has full knowledge of the nurse's involvement and all Medical Absence Criteria are met.

School Nurses and Athletic Trainers do NOT count as medical professionals.

Why can't I see the PAM'S REPORTS folder in Cognos?

If you have the Cognos software on your computer, but cannot see PAM'S REPORTS you must call or email HISD Technology.  It is a simple "pathway" problem that will take no time for them to repair...but only Technology personnel can make the repair for you.

What is a STUDENT TRIP and how do I know if a student is absent because of a STUDENT TRIP?

To qualify as a Student Trip absence the student must be traveling with an HISD sponsor to attend an event specifically sanctioned by the HISD Board of Trustees.

An HISD sponsor is a certified employee of HISD or a professional who has been designated as a representative of HISD. (For Example:  In the case of 4-H Stock Shows or Fair Exhibits, the County Extension Agent is a HISD Board designee.)

Campus Attendance Offices must receive a list of students qualifying for the Student Trip before the trip occurs.  The list must contain the Student's name and ID number as well as the date(s) and/or time(s) of the trip.  Trip Sponsors are required to take attendance on the trip and report any absences to the campus Attendance Office.

Personal family or business events are not considered Student Trips.

Student Trip absences do not actually generate an absence in the student's attendance record, but there is a limit of how many such absences each student may accumulate in a school year.  Each student may have a maximum of 19 absences in one(1) school year for the purposes of Student Trips.  Any absences accumulated after the 19th absence will be classified and excused only as a Parent Note absence, and will count as a regular absence from school.
